Deep Dive: Wi-Fi vs. USB
Printers are notoriously finicky. If you are having trouble printing over Wi-Fi, the quickest test is to temporarily connect a USB cable from the printer to your laptop.
- If it prints via USB: The issue is your network connection or router settings.
- If it fails via USB: The issue is likely the printer driver or a hardware fault (paper jam, empty ink).
Common "Invisible" Problems
- The "Offline" Status: Sometimes Windows marks a printer as "Offline" even when it's on. Right-click the printer, select "See what's printing", click the "Printer" menu, and uncheck "Use Printer Offline".
- Ink Levels: Some printers refuse to print black text if the color ink is empty. Check your panel for flashing orange lights.
- Paper Jams: Even a tiny torn corner of a page stuck in the rollers can stop the machine. Open all access doors and check with a flashlight.
Pro Tip: If you bought a new router recently, your printer is likely still trying to talk to the old network. You will need to run the "Wireless Setup Wizard" on the printer's built-in menu to find your new Wi-Fi name.
